MOT Reminders

Did you know that you can use DragonDMS to find Customers who have an MOT due or an MOT that has expired?

The Service CRM not only allows you to check the MOT due dates, but you can also send reminders to customers via text, email or letter.

How to Check MOT Due Dates

Service Follow Ups can be found within CRM > Service.

You can select a date range varying from Due Today all the way up to due in the next 61-90 Days. Once the date range has been selected, you can then select the relevant follow up category from the right hand list, for example MOT Due. The CRM will then display all of the customers that have MOT’s due between the date range that you have selected.

Overdue MOT Due Dates

If you select Overdue from the date range section, this will show all follow ups that are overdue for the current month only.

Custom Date Range

The Custom Date Range allows you to choose the dates in which you want to search for follow ups due. For example, if you want to see all MOT’s that are due between 01/04/2020 and 01/10/2020 you would need to use the Custom Date Range.

You can also use the Custom Date Range to search for overdue follow ups by entering the relevant past date range.

Reports

Reports > Service > Service CRM > All MOT’s Due.  This will show you all MOT’s due for the date range specified.

Please Note – The Service CRM and Service MOT Report will only show contacts that have given Marketing Consent and their preferences have been updated in their contact record. 

How to Contact Customers Regarding their MOT

Within CRM > Service, once you have selected your date range and follow up reason, a list of customers who fall within the criteria will be displayed.

The default Action is taken from the preferred contact method on the contact record. If there is no preferred contact method, the Action will default to Letter. Providing the customer has the relevant contact information and marketing preferences, the Action can be changed to Letter, Text or Email. No Contact can be used if do not want to include them in this specific mailshot.

Change the Action for each Contact or alternatively, you change them all at once by using the Change Action To option at the bottom of the page. Click Next to continue.

The final step is to decide what you are going to send to them. If you have selected multiple actions you can choose a template for each option (Letter template, email template and text message template).

If you have an existing template created, you can select this from the drop down list available. If not, click on New to create a new one.  If you are creating a new template, you can use the Insert option to add a level of personalisation to the mailshot you are sending. Once the new template has been created, it will be saved in the list for future use.

The message that you send will be logged against the customer in the activity screen of their contact record.

Please note the email function will only work if you are using Microsoft Outlook on your PC (It needs to be the 32 bit version).
