Managing Stock Oils

The Stock Oils management feature is within the Service Module of the DragonDMS.

From the Service Module select Job Items.  A list of your current Stock Oils (if applicable) will be displayed.  From here, you will also be able to view any oils orders, returns and issues.

Creating a New Oil Record

To create an new Stock Oil click Create Item and select Stock Oil.

Complete the following fields:

  • Oil Number
  • Description
  • Default Location
  • RRP – this will generate the Selling Price
  • Purchase Price
  • Quantity – this only needs to be completed if you already have stock. If not, see How to Create an Oils Order to update your stock levels.

Click Save once completed.

Creating an Oils Order

Once an Oils record has been created, you can the replicate the order you have placed with your Supplier in the DMS.  By doing this, the oils record will be updated with the correct stock quantities and you will have an audit trail of the orders placed for that oil.

Click on Create Oils Order.  Search for the Oil or Oils you are adding to the order.  An Oil Record must be created before an oil can be added to an order.  Click Create Order once selected.

Select a Supplier by either creating a New supplier record or using the Find option to search for an existing Supplier.

If applicable, enter a Due Date as to when you are expecting the order and a Reference.

Double clicking on the Oil will allow you to adjust the Quantity and Net Purchase Price.

Once all of the details have been entered, click Confirm Order.  This will lock the order and a Order No will be generated.

Receiving an Oils Order

From the order, click on the oil you are receiving in.  This will highlight the line on the order. Click Receive Selection. Enter the date on your Suppliers invoice into the Goods in Date. You can also change the reference number if applicable.

The oil record will be updated with the quantity now available and the oil can be issued to service jobs.
