DragonDMS – May 2017

New DragonDMS features including a new motorhome specific tab, Technician Scheduler, linking stock parts to labour lines and much more

Sales

New features

You can now select a default Silent Salesman to be attached to emails you send to potential customers. To set a default, go to Settings > Vehicle Sales > Defaults and select the ‘Silent Salesman Report’ in the ‘Default Silent Salesman’ dropdown. When you click on the ‘Email’ icon within a Vehicle Record, the default silent salesman will be attached

New ‘Motorhome’ specific tab within a vehicle record, where you can enter the Chassis Manufacturer, Licence, Number of Berths and Belts, Select the Kitchen and Bathroom Layouts, Type of Heating, Garage, Upholstery, Select the Seat and Bed Options and more

New ‘Habitation Due’ follow up field found within a vehicle record on the ‘Dates’ tab

You can now set default templates at Vehicle Group level. Go to Settings > Vehicle Sales > Vehicle Groups, add or amend a vehicle group and select a Template from the dropdown

New ‘Due In’ date field so you can keep track of stock that is due in

Improvements

It is now easier to ‘Bulk-Add Features’ to a Car Sales Record. From within the vehicle record, go to Advertising > Features and click on ‘Add Features’. If you tick the ‘Bulk Add Features’ tick box, you can then type features in the box below, separated by a comma and click ‘OK’, the features will then be listed

If an employee is in a vehicle record, another employee can now view the record as ‘Read Only’ rather than not being able to view it at all. It will tell you at the top who is currently in the record

Service

New features

New ‘Technician Scheduler’ – this is a new way of scheduling workshop jobs by allocating Labour Lines to technicians. It allows you to allocate different labour lines on a job to different technicians – see Technician Scheduler help article

New ‘Clockings Viewer’ – for users that use the electronic clocking system, the current technician clockings can now be viewed from any computer with DragonDMS installed. On the bottom right of the main menu, click the ‘Clockings’ button and the new clockings viewer will launch

Parts Status visual indicator has been added to the list of Booking and Service Records, with it designed to indicate which jobs have Parts that are in stock, on order or out of stock  – see Parts Status help article

You are now able to link parts to labour lines so that they are grouped together on invoices – see Linking Stock Parts to Labour Lines help article

You can now suppress Part Line prices – see Suppressing Part Line Prices help article

You can now set the ‘Delivered Date’ field to automatically be populated with the date a Service Invoice was printed. To enable this, go to Settings > Service > Invoices tab and select ‘Yes’ to the ‘Automatically Set Delivered Date When Invoice is Printed’ option

You are now able to create a service invoice for a MOT Retest at £0.00

There is a new ‘On Hold’ status for Services that are on hold

Improvements

If an employee is in a service record, another employee can now view the record as ‘read only’ rather than not being able to view it at all. It will tell you at the top who is currently in the record

Parts

New Features

Parts notes can now be shown on parts transactions. From within a Parts Order, Invoice, Issue, Estimate, Credit or Return, right click on the ‘Field Headings’ and you will get a box with a list of Fields you can add. Drag and drop ‘Notes’ and any notes associated with that part will then show

Parts orders can be linked to booking and service records – see Creating a Parts Order from a Booking/Service Record help article

You can now update Discount Codes from parts files by going to Settings > Parts > Settings clicking on the ‘Prices’ tab and ticking the Automatically update discount codes from parts files’ option

You are now able to print Retail Barcodes. To set this as a default, go to Settings > Parts > Settings click on the ‘Stock’ tab and select ‘Retail Barcode’ in the Default Part Barcode section

CRM

New Features

CRM Cycles can now be created so that your employees can follow the steps when following up with customers. CRM cycles can be set up within Settings > CRM > CRM Cycle – see CRM Cycles help article

You can now have more than one ‘Follow Up’ per record. Outstanding follow ups will be shown in Turquoise. Put in a resolution to resolve a follow up, you can then create another one if you need to. You are also able to forward on a follow up by ‘x’ number of days which can be decided in your settings

CRM Notifications – on log in, you can enable notifications to pop up to remind you of follow ups due for that day – see Notifications on Login for Follow Ups Due help article

There are new marketing options so Customers can choose how they receive marketing communications – see Marketing Preferences for Customers help article

APPraise

New Features

You are now able to select different artwork to appear on your VHC Reports. To do this go to Settings > APPraise > VHC and double click on a ‘Template‘ (or create a new one). There will be a dropdown box at the top where you can select your VHC artwork you wish to show for this particular template

Reports

New Features

New ‘Deleted Costs Summary’ report found within Reports > New/Used Vehicle Sales > Vehicle Purchases which shows all costs deleted between two dates

Improvements

‘Branch’ and ‘Location’ fields are now available on certain CSV reports

Settings

New Features

New employee permission to allow or restrict employees to be able to add new items to sales/service components. This is found in Settings > Employees > double click on the relevant employee > Access Rights > Other tab

New employee permission to allow or restrict employees to be able to mark a Prospect as a ‘Lost Sale’.This is found in Settings > Employees > double click on the relevant employee > Access Rights > Vehicle Sales tab
