DragonDMS – February 2017

New DragonDMS features including how to add/modify photos in your browser, hiding parts discounts, new user permissions and much more

Sales

New features

Adding and modifying photos for a Vehicle Record can now be done in your web browser. From within a Vehicle Record > Advertising button > Photos tab, a web page will open where you can add, delete or re-order photos

Custom Fields are now included in the CSV export of the ‘Vehicle Sales Stock Report’ from within Reports > New/Used Vehicle Sales > Vehicle Stock > Stock Report

From within a Vehicle Record you are now able to add Finance GAP using the standard IPT rate for contracts where the policyholder must pay off the outstanding finance with any pay-out. To do this you need to go to a Vehicle Record > Additional > Finance/Warranty > Add IPT Warranty and choose your Finance GAP from the ‘Product Type’ dropdown

There is a new user permission that can be set to not allow employees to ‘Change a Sales Invoice Date’ and ‘Can edit Sales Invoice Figures’. This can be set up by going to Settings > System > Employees Details > Access Rights and selecting the relevant options

From within Reports > Vehicle Sales > CRM > CRM Enquiries Overview, there is now a report that includes a breakdown of each Salesperson’s enquiries and how many are an Open, Agreed or Lost Sale

There is also now a ‘CRM Enquiries Overview – Detailed’ report that shows the same information as the above report, but also includes a column that details the last correspondence with the Enquiry Record

When adding a Part Exchange to a Vehicle Record with a customer attached, you will now be presented with the option to select the customer’s Current Vehicles (maximum three)

When you now click the Tweet button from within a Vehicle Record, there is an ‘Insert’ dropdown box that contains all the Vehicle Information for you to choose from. You are also able to change the Selected Image from within this window

There is now a ‘Date Due in’ Field within Vehicle Record > Vehicle > Dates tab > Transactions section. Changing the vehicle status to ‘Due In’ will prompt the user to enter the ‘Due In’ date.

There is now a ‘Left/Right Hand Drive’ dropdown box within Vehicle Record > Vehicle > Technical Cont

Improvements

Employee Access Rights – if you wish to prevent employees adding costs to a deal after it has been invoiced, go to Settings > Employees > select the relevant employee in the Employee Details section > Access Rights tab > Vehicle Sales tab and uncheck ‘Can Add costs to Invoiced Deals’

From within Vehicle Record > Technical > Registration and Security you are now able to add up to 50 characters in the ‘Original Registration’ and ‘Future Registration’ fields

You are now able to create a Vehicle Stock Record or a PX using the same registration as the Future Registration of an existing stock vehicle

You are now able to create a Vehicle Template and give it the same name as a previous template that has been deleted

The ‘Vehicle Details – All Photos’ report, which can be found in Reports > Vehicle Sales > Vehicle Stock now shows all of the Advertising Text you have entered

Service

New features

You can now add a Service Works Order as an Extra to a Service in progress

The ‘Discount Parts Amount’ can now be hidden on Customer & Warranty Invoices. This can be configured by going in to Settings > Service > Settings > Invoices tab and ticking ‘Exclude Parts Discounts’ on your Standard or Restorer job card/invoice style (or both if required)

Service Invoices with Labour Lines, which are grouped by a Labour Subcatergory, can now show a ‘Category Total’ rather than a line per total. This can be configured by going in to Settings > Service > Settings > Invoices tab and ensuring that ‘Show Labour Subcategory Totals’ option is ticked on your Standard or Restorer job card/invoice style (or both if required)

You can now speed up the time it takes for your Service Menu to load by going in to Settings > Service > Settings > Menu and selecting from the three available options

Going in to Service Menu > Completed Services > Between 120 days and 1 year ago now shows only the first 20 results by default

‘Enable Deletion’ is now available as an Employee Access Right. Go to Settings > System > Employees – double click on the relevant employee then click on the Access Rights tab > Service tab and tick/untick ‘Enable Deletion’ as required

You are now able to ‘Create a Booking’ from within an item ‘Awaiting Customer Response’ in the Service CRM Menu

Users are now able to change the order of Stock and Non Stock Parts on a Service Estimate. The order will remain the same on the Proforma and if it is transferred to a Booking or Service Record

A confirmation text can now be sent when a Service Booking is created. This can be setup as an automated activity in Settings > System > Text Messaging > Scheduled SMS Alerts

Service Booking reminder texts can now be automated, allowing you to send a text reminder x days before the customer is due in. This can be setup by going to Settings > System > Text Messaging > Scheduled SMS Alerts

Improvements

Estimate print outs are now able to display more text in the Part Number and Description sections

There is now a setting which allows you to Allocate Stock when adding stock parts with a quantity of zero to a Service Estimate. This can be configured by going to Settings > Parts > Settings > Stock tab > Stock Level Options section and selecting ‘Allocate Stock (Require authorisation to issue to service)’ under the ‘Receive Booking/Estimate into Workshop’ heading

The Retail Price % you set from within Settings > Service > Defaults > Service Department Defaults to ‘Issue Parts and Oils at’ will now be carried across from your Templates to your Services

You can now reorder Labour subheadings after you have deleted one from within Settings > Service > Components > Labour

On the Restorer style service invoice, Extras with a Net Selling Price of zero will now show on the Proforma

Adding an Event via Service > Diary > Event Calendar to a Bay that has 0 hours and ticking ‘Positive Affect on Hours’ will cause your ‘Total Hours Available’ to go up

The ‘Caption’ field within a VHC has been increased to accommodate more text

The ‘Comments/Recommendations’ header now shows on each page of a VHC even if it spans over two pages

The ‘Vehicle Mileage’ field will only change on an Internal Service Invoice if the Service Record mileage is higher than the Stock Vehicle Record mileage

Parts

New features

A Delivery Note (an invoice with no pricing information) can now be Printed from within a Parts Invoice. The Delivery Note button is located alongside the Proforma Invoice button

An Employee Permission has been set up that allows users to edit the ‘Description’ of a Part Record from within a Service Issue. This can be turned on by going in to Settings > Employee Details > Access Rights > Parts and checking the relevant box

On Parts Invoice and Parts Estimate screens, there is now an ‘Analysis’ button in the top left corner which shows the Total Profit for each Part

You are now able to decide whether you want to ‘Show Prices on Barcode Labels’ by selecting the option from within Settings > Parts > Sales & Purchases > General

Adding a Stock Part with no stock and giving it a barcode now means you cannot give a second part the same barcode.

From within the Parts menu you can now find a stock part that has Multi Locations via the search tool.

Improvements

From within Parts Menu > Orders > Suggested Orders the Order button is now available

Deleted Parts are now unable to be added to a Return, while you are also unable to delete a Part that is part of an incomplete return

Part barcodes can now be scanned into the search field when you are creating an Order/Estimate/Invoice/Issue

You are no longer able to delete a Stock Part Estimate that has been printed

Printing and Closing a Part Credit/Return will lead to the original Invoice/Order being reopened

CRM

New Features

A ‘Preferred Method of Contact’ is now able to be selected when you create a New CRM Enquiry

You are now able to create a ‘Prospect Enquiry’ for a Company. You can create one from within a Company Contact Record too

You are now able to set up Email Alerts from within Settings > System > Email

Improvements

The ‘Follow Ups Overdue’ report available from within the New/Used Vehicle Sales Report Module is now grouped by Employee and sorted by Follow Up Date

When you are creating a Custom Mailshot, you can now remove Duplicates from a Contact List
