Deleting Records

How to delete Stock records, Service bookings and jobs and Part records

Vehicle Records

A vehicle record can only be deleted if the Purchase Invoice and Sales Invoice have NOT been printed.

To delete a single vehicle, within the vehicle record, click on the Rubbish Bin icon in the bottom left hand corner of the record:

Multiple records can be deleted in bulk within the Utilities menu.

Highlight the vehicles that you wish to delete and Confirm Selection.  This will move the vehicles to the right hand side. Once all vehicles have been selected, click Delete.

Once a stock record has been deleted, the stock number cannot be reused.

Once deleted, the record can be revived within Utilities by selecting Revive and searching for the relevant record.

If the Purchase or Sales Invoice have been printed, the vehicle cannot be deleted.  A credit would need to raised for the relevant invoices before the vehicle can be deleted.

Service Records

Bookings, Services in Progress and Estimates can all be deleted with the Utilities function of the Service menu.

Search for the relevant record and Confirm Choice.  Once all records have been selected, click Delete Selection.

Once a record has been deleted, it cannot be revived.

If an Estimate has been approved or a Service Invoice has been printed, you will not be able to delete the record.

Cancelling a Booking

If a Service booking has been cancelled, you can select to cancel the booking rather than deleting the record.  Cancelling the booking will move it into a separate menu and the record can be revived back to a booking at a later stage if required.

With a Booking Record, select Cancel Booking within the Overview section:

Once cancelled, the booking record will be moved to Service Bookings > Cancelled Bookings.

To revive a cancelled booking, go into the booking record and Overview > Revive Booking.  This will move the booking record back to the Service Bookings menu.

Part Records

To delete a Part Record, the following criteria of the Part Record must be met:

  • The Stock Quantity of the part will need to be 0
  • The part cannot be issued to an estimate, invoice or service record
  • The part must not be on order

Once the above criteria has been met the part record can be deleted.

To delete a single part record, within the part record, click on the Rubbish Bin icon in the bottom left hand corner of the record.

To delete multiple part records go to Utilities > Delete and highlight the part records to be deleted.  Click Confirm Selected and Delete all items in the selection.

A part record can be revived within the Utilities menu by clicking Revive and selecting the relevant part records.
