Creating a Prospect Enquiry

Tracking the status of your Prospective Customers is an invaluable tool. The Vehicle Sales CRM has been designed to allow you to capture information about your Prospective Customers, their budget and the vehicles they are interested in.

Creating an Enquiry

From the Vehicle Sales CRM, click on Create Enquiry. Enter their details, preferred contact method and vehicle they are interested in (if applicable). If they are interested in more than one vehicle, multiple vehicles can be selected.

If applicable, enter their budget and if they are looking to part exchange a vehicle you can enter their current vehicle. These details do not need to be entered to continue.

The final step of the enquiry is to set up a Follow Up activity detailing what has been agreed with the Prospect.

Click Finish to save the details.

Once the details have been saved, an Enquiry Record for that prospect will be opened.  The follow up created will show in Turquoise on the Activity tab of the record.

Creating & Resolving Follow  Ups

Once an enquiry record has been created, you can set follow ups for your next course of action with that prospect.

Click Create Follow up from the enquiry record and complete the form with the details.

Click Create when complete.  Any outstanding follow ups will show on Turquoise on the Activity tab of the Enquiry Record.

Double click on the follow up to view the full details or add information.  Once the follow up has been actioned, from here you can Resolve the follow up.

Enter the Resolution details and click Complete.  On completing, you will be given the option to create a further follow up if applicable.

How to Remove an Enquiry Record

Once an enquiry record has been created, to remove the record it would either need to be marked as Lost Sale or Sale Agreed.

Once an enquiry has been marked as Sale Agreed, it will be moved into the Open Prospects > Awaiting Invoice list within the CRM.  Once the sales invoice has been printed on the deal, the enquiry will be moved into the Previous Prospects > Converted Sales list.

If an enquiry is marked as Lost Sale it will be moved into the Previous Prospects > Lost Sales list.

If you have multiple enquiries that need to be removed and marked as Lost Sale, this can be done through the Utilities section within the CRM.  By entering a date into the Enquiries Dated Before box, the system will remove any enquiry records that are before this date. The enquiries will all be marked as Lost Sale and moved into the Previous Prospects section.
