Attaching Documents to Records

How to attach documents to Vehicle Records, Service Records and Contacts.

Within the DragonDMS, you have the functionality to save documents against Vehicle Records, Service Records and Contacts.  This is useful if you have documentation for that record, it can be attached so that at a click of a button, you can view all of the relevant files.

How to set up Documents

Within the DragonDMS Settings, you will need to specify a file path location where all of these documents will be saved.  If you would like multiple users to be able to access the documents, the specified file path will need to be accessed by all users.

Go to Settings > System > Documents. Enter or browse the location you would like the documents to be saved too.

How to save Documents

Once a file path has been specified in settings, Documents can be saved that are linked to a specific Vehicle, Service or Contact Record.

Within the following records you will either see either a documents symbol in the bottom left hand corner of the record (for Vehicle Records) or a documents button in the top right hand corner of the record (for service and contact records).

When you click on the documents button, it will create a folder within your specified documents location. The folder will be named by stock number for vehicle records, registration for service records and Account Reference for Contacts.

Any documents relating to that record can then be uploaded.  Any user that then clicks on the documents folder within a record will be able to view those documents (providing they have access to the specified documents path in settings).

Can I attach additional documents to a customer invoice?

You cannot upload documents that will print and attach to customer facing invoices. The documents location is for your internal use only.
